Swap the trade nouns freely — a furnace reply works for a water heater, a panel upgrade, or a roof patch with three words changed. Roofers, garage-door techs, landscapers: these are yours too.
The four rules of a reply that helps you
- Use their name and one job detail. "Thanks, Dave — glad the furnace held up for the cold snap" beats any template on this page. Specifics prove a human read the review.
- Sound like your shop. If you wouldn't say "we apologize for any inconvenience" across the counter, don't post it. Short and plain beats polished and corporate.
- Write for the next customer. The reviewer may never come back — the hundreds of people reading your reviews before they call will. Every reply is an ad they can't skip.
- Take fights offline. On hard reviews: acknowledge, state your side in one calm sentence, and move it to a phone number. Never litigate the details in public.
5-star reviews
Don't waste them on "Thank you for your feedback!" A specific thank-you turns a happy customer into a repeat one — and shows the next reader you're paying attention.
"Great service, fast and friendly. Recommend."
Appreciate you taking the minute to say so — that's what we like to hear. Anything acts up, you know where to find us.
"Water heater died Sunday night, they had a new one in by Monday afternoon. Explained my options, no upsell, left the utility room cleaner than they found it."
Thanks for this — Sunday-night water heaters are nobody's favorite surprise, so we're glad we could turn it around fast. And the crew will be happy you noticed the cleanup; they take that seriously. Enjoy the hot water.
"Third time using these guys. Panel upgrade this time. Same story every time: on schedule, fair price, tidy work."
Three for three — that's the reputation we're trying to earn, one visit at a time. Thanks for keeping us as your first call. The panel should give you headroom for years; holler if you add that EV charger.
"My neighbor recommended them and now I get why. AC quit in a heat wave, they fit me in same week and the tech was straight with me about repair vs replace."

4-star reviews
Thank them for the four, and address the missing star head-on — ignoring it reads worse than owning it.
"Quality work and a professional crew. A bit more than I hoped to spend, but the leak is fixed right."
Thanks for the honest take. We're not the cheapest bid in town — we price so we can do it once, with the right parts, and stand behind it. Glad the leak's done for good, and we appreciate you saying so.

3-star reviews
Three stars usually means "the work was fine, something around it wasn't." Find the something and answer that.
"The outlet work itself is solid. But I had to chase them for the quote, then again for the invoice. Felt like I was project-managing my own electrician."
Fair hit. The wiring's the easy part for us — the paperwork clearly wasn't, and chasing us twice isn't the experience we want anyone to have. We've changed how quotes and invoices go out so they don't sit in a truck cab. Thanks for telling us straight instead of just walking.
"First visit didn't fully solve the clog, had to have them back. Second visit sorted it and they didn't charge for the return. Splitting the difference with three stars."
That's a fair score for how it went. We'd rather nail it on visit one, but when we don't, the return trip is on us — every time, no argument. Glad it's flowing right now, and thanks for letting us finish the job.
1-star and 2-star reviews
Breathe first. These replies are for the next hundred readers, not the reviewer. Calm, specific, one sentence of your side, then a phone number.
"$400 to replace a capacitor?? Part is $30 online. Absolute ripoff."
I hear you — nobody enjoys a repair bill. The price covers a licensed tech at your door same-day, diagnosis, a commercial-grade part with a warranty, and the truck, insurance, and training behind all of it. If something about the bill doesn't match what was quoted before the work, call me directly at (555) 012-3456 and I'll go through it line by line with you.
"Took a half day off work. Nobody showed, nobody called. Don't bother."
There's no version of this where you're wrong to be angry — a no-show with no call is our worst miss, and I'm sorry it cost you a half day. I want to find out where our dispatch broke down and make the time up to you. Please call me at (555) 012-3456; ask for the owner.
"Breaker they installed keeps tripping. Called twice, got excuses. Paying someone else to redo it."
A breaker that keeps tripping after our visit isn't finished work, full stop. Our labor carries a warranty and I'd like to use it — no charge, and I'll come look at it myself if scheduling was the holdup. Call me at (555) 012-3456 before you pay anyone else; if we can't make it right, I'll tell you so to your face.
"'Technician' (lol) had no clue. Total clown show, avoid these hacks."
Sorry the visit left you this frustrated. Name-calling aside, if something on the job was wrong, I genuinely want to know what — that's how we get better. I'm at (555) 012-3456 and I'll listen. The offer stands either way.

Should I reply to every review?
